Section 020303. Lodging
A traveler on TDY must reserve lodging compliant with U.S. Fire Administration guidelines. (Aviator Crashpad is on this list)
A. Booking Commercial Lodging
- A traveler is responsible for any charges in excess of the per diem rate.
- Aviator Crashpad only charges you the authorized on-base rate, so you will not incur excess charges.
- A traveler is responsible for canceling a room reservation within the established time frame to avoid any no-show charges and must obtain a cancellation number to reverse a no-show charge.
- If a traveler cannot book commercial lodging using the TMC (including the electronic travel system) then the traveler must book directly with the commercial lodging facility (including the hotel’s online Web site).
- You’re in the right spot!
- If a traveler obtains lodging through an online booking agent, reimbursement is authorized only when the traveler provides a documented itemized receipt for room costs from the hotel or online booking agent showing the following charges (CBCA 2431-TRAV, September 13, 2011):
- Daily hotel room costs
- Daily hotel taxes.
- Daily miscellaneous fees, if applicable.
- Aviator Crashpad provides all guests a daily itemized receipt at the end of their stay. If you require one monthly for accrual vouchers, we will provide that as well.
This means that if you show up to lodging and don’t get a Non-A, you can still stay in a crashpad. Just tell lodging you would like to utilize a different lodging situation (Aviator Crashpad) as a personal choice. Aviator Crashpad will accommodate you by only charging you the on-base lodging rate. (you still won’t pay anything out of pocket and get to stay at a sweet crash pad) If you do this, you will only get the on base per-diem rate, and not the higher off base per-diem rate you get with the Non-A.
